Give every tick a written answer.

Use this beside the quotation. An empty box is a useful question to resolve before placing a wholesale order.

Check the answer, then the box

A completed item should point to a statement you can retrieve. If an answer exists only in a call, ask for a written recap before treating it as settled.

Use the list for repeat orders too. A familiar product name does not confirm that the pack count, reference sample, or delivery scope is unchanged.

Reopen connected items when a detail changes

A revised net pack weight can affect unit counts and receiving arrangements. Follow the consequence through the buying file rather than editing one line in isolation.

The checklist does not send a record to sales. Print the page from your browser if you need to share the marked copy with the person approving the purchase.

Wholesale purchase checklist

Tick an item when the answer is documented, rather than when a field happens to be filled in.

The goods are identifiableThe material, requested form, dimensions, and sample reference describe the same purchase.
Quantity has a clear unitThe forecast is separate from the purchase quantity; net product weight is separate from packing weight.
The pack count reconcilesNet weight, units per outer pack, material, and closure have written answers.
Quality has a stated referenceAsk for test data and its measurement basis for the goods in the quotation.
The sample trial is reproducibleRecord the equipment, charge, lighting method, and observations to discuss with sales.
The receiving scope is clearConfirm the destination, receiver, unloading arrangements, and timing in writing.
Payment details have been checkedMatch the beneficiary identity and payment terms against the formal quotation.
Discrepancies have a reporting routeAgree what to record at receipt and how to report count or packing differences.
